Library media exposure and publications |
The Library has featured in television programs, on the news and in newspapers and journals since its inception September 2006, both locally and internationally.
Locally –
• Xebat (Khabat) Daily Newspaper on June 15, 2009 wrote an article about UK-HL policy and practices including access and facilities for all
• Two library staff, together with two UKH instructional staff members, participated in a panel discussion on Zagros Satellite TV, May 21, 2008, about the Prime Minister’s Honorary Doctorate, received from Washington and Jefferson College
• The Window, the UK-H student magazine, 2nd issue May 2008 wrote a short article about the UKHL training program
• Al Iraqia TV in Arabic made news about the training in Duhok April 21, 2008 and interviewed several students
• KurdSat television, on March 20, 2008, broadcast UK-HL certificate ceremony in Sulemaniya

Library Renovation:
During August and September University of Kurdistan Hawler Library has gone through a major renovation.
|
- All windows and doors have been changed to a more library friendly system, for example all windows have double glass to protect library from extensive dust storm.
- Library ground have been wired both for electricity and the internet
- A wireless system installed to the library for those library user who chose to use their laptop.
- A number of plants placed in the library to balance excessive dry weather and make library more attractive for the users.
- Library has increased its desk top computers to 12
- Library Re-organized all book shelves to make it more user friendly
- Library created five sections: Reference, Circulating, Fiction, Computer, and study area

E-Sources Statistics:
|
- JSTOR: From October 2008 to January 2009 total 6994 searches were conducted and 4129 full text article were viewed.
- Ebscohost: From October 2008 to January 2009 total 5355 searches were conducted and 2086 full text articles were retrieved
- There are many online academic sources are used which statistics is not available because they are free sources but selected for library user and on the UK-H Library web page.

Library Purchasing and Subscription Renewal:
|
- Library made two physical material purchase (Books, DVD, MP3, and more) One in August –October and the other January – March
- Library Renewed its subscription or subscribed to the following Data Bases
- Ebschohost Database that has 4700 e- journals
- JSTOR Archival Database Cross Disciplinary more than 720 Archival Journal collection. It has more than three million items in it.
- World Bank e-library has about 5000 e-books, reports, and working papers about economic development
- World Bank development Indicator
- World Bank Global development Finance
- Library purchased OCLC online Cataloguing Services in January 2009 to speed up cataloguing process

Information Literacy
- Every member of the faculty and teaching staff has regularly been informed about new resources and stock additions, mostly by e-mail and sometimes in person.
- This semester, six class presentations on library resources have been conducted, with each session lasting from 60 to 75 minutes.
- The library's web pages have been updated and will continue to be updated regularly.
- On average the library staff handles 35 reference questions daily.
- An average of five to seven students per day receives advice about their essays, homework, or other academic subjects.

Out Reach
We have received visitations from the following institutions:
- The Translation Department of the University of Koya (21/02/2008) received a presentation about library resources during their visit.
- The Library Department of Hawler Technical Institute (25/02/2008) received presentations on the Library and its services.
- The members of the US Army Civilian Affairs Department in Erbil several times visited the library with donations of books.
- Students from a local high school and a middle school visited the library and received presentations about library resources.
- The Swedish NGO DIAKONIA regional representative visited the library on May 4, 2008.
- The Consul of the Federal Republic of Germany visited the library with representatives of MARTSCH International Cooperation (05/21/2008).

New sources
- A total of 2515 items in 1882 titles have been added to collection; 2493 of these are monographic and 27 items in a variety of other formats.
- The JSTOR archival data base complete collection has been added to the electronic collection (“JSTOR includes 1,856,206 full-length articles across 47 disciplines; there are 1,387,437 book reviews; the oldest content in the JSTOR archive was published in 1665”).
- Numerous new academic websites have been added to the library webpage.

Statistics
- UKH has 419 students, about 36 teaching staff and four library staff, two of them professional librarians.
- Library items total 6215, of which total titles are 4880, monographs 5847, and other formats 368.
- Book circulation in February – May 2008 was Staff: 247 and Students: 5357, totaling 5604 nearly, representing a 62% increase in circulation of books.
- Head Counts: From March 4, 2008 the Library started a head count statistics four times a day and from that date to May 29, 2008 the average at any one time 23.09 people have been in the library.
- The library has nine (9) computers with internet connections for student use.
- There are 86 seating places in the library.
- Four individual study rooms and two large group study rooms are available for students in addition to several open study areas.
- The Ebscohost database had 7296 searches, conducted from February 2008 to May 2008; an average of 54.5 minutes was spent for searches and 2078 full text articles were retrieved.
- The JSTORE database has been used very well, but we still don’t have official statistics; probably around 1000 articles have been downloaded since late April 2008.
- There are a number of online academic sources selected for UKH students and faculty and placed on the library web page for easy access.

Staff development
- The library staff undertook training for a new circulation and security system from MARTSCH International Cooperation.
- The library staff regularly receives professional journals, both in electronic and print versions, from the American Library Association.
- The Library Trainee continues to attend English classes in the foundation program for TOEFL preparation.
- The library is in the process of hiring three more staff members.
- It is the library’s goal to enroll all library trainees to graduate studies in Library and Information Science in order to develop the professional skills of locally hired staff.

Community Service/ Volunteer Work
UKHL has successfully carried out a joint project as a community service with the Ministry of
Higher Education to train library staff in higher education. In addition to the planning,
preparation, and traveling time, UKHL’s library staff each taught 84 hours,
a total of 168 hours. Ninety- one (91) students from forty five (45) institutions
participated in the classes and eighty-five of them from the three provinces of the KRG area were
eligible for certificates. The training program was delivered in Erbil, Sulemaniya and Dohuk.

Management
- We are reviewing and updating the library policies and procedures for both staff and students; for example, a new loans policy was approved and has been instituted. Rules about staff work hours and relations with customers have been updated.
- We have purchased and installed a security and circulation system for the library.
- A temporary budget proposal has been prepared and submitted to the university finance department for the remainder of this academic year.
- The UKH Library, as a member institution, adopted the American Library Association (ALA) “Library Bill of Rights”.

- New library jobs were announced in three major newspapers with updated job classifications. It is the library policy to apply equal opportunity rules in its hiring.
- The library, with the help of the UKH IT support department, developed its own catalogue data base.
- Library purchased the archival Data base JSTORE.
- 111 books were purchased from 3rd Erbil International Book Fair.
- The Library Director was elected to the UKH Academic Board.
- Library posted its’ fall academic year report to the UKHL webpage to demonstrate its commitment to the transparency and accountability.

Library Related Committees
- Library Hiring Committee: A committee was established for application review, interviews, and evaluation. The committee consisted of the university librarian, the cataloguing librarian, and the director of human resources.
- Book Purchasing Committee: A committee for the selection and purchasing of library materials has been formed from interested parties, each representing different departments of the university community, to fulfill the requirements of the finance department and Library to ensure transparency and overview of the selection of materials.
- Library Security and Circulation System Purchasing Committee: The library established a committee of three, two from the library and the IT support services manager, to make a proper evaluation of materials and fulfill the finance department and library requirement. The committee accomplished its task successfully.

Donations
- Donations have been received from staff, notably Dr. Almas Heshmati for Economics dissertations and Dr. Khosrow Bazrafshan for Petrology materials.
- SEFLIN (South East Florida Library Information Network Florida - USA) continues its donations.
- The US Army Civilian Affairs Department has been the largest donor with a total of 989 books, 14 Journals, and one Audio Player, including donations in the fall of 2007.

Recognitions
- Received
The Ministry of Higher Education and Scientific Research of the Kurdistan Regional Government has sent two letters of appreciation, one for the Library Director and the other for the Cataloging Librarian, for their contribution to the development of library staff in higher education institutions in Kurdistan Federal Region. (May 22, 2008)
- Award Presented
The UKHL presented its very first certificate of recognition to the UKH outgoing Managing Director, Ms. Dalia Kaikhasraw, on May 29, 2008.
- The UKHL Director wrote several letters of appreciation to the US Army Civil affairs and SEFLIN for their donations and support of the library.

This is a brief report on the work and activities of the University of Kurdistan Hawler Library staff, up to end of Jan 08 in the academic year 07/08

|
Advocacy:
- The library's web page has been updated and will continue to be updated regularly.
- Faculty members are regularly updated with regards to stock additions and new online resources by e-mail.
- We have developed a fact sheet on the university staff, students and resources, for visitor and staff information.
- We have received visitations from US and South Korean diplomatic residents in Hawler, members of the US Army Civilian Affairs Department, and students from two local high schools.

Information Literacy:
- To date 18 class presentations on library resources have been conducted, with each session lasting from 60 to 75 minutes.
- On average the library staff handles 35 reference questions daily.
- An average of five students per day receives advice about their essays, home works, or other academic issues.

Management:
- We are reviewing and updating the Library polices and procedures for both staff and students.
- We have progressed on the investigation into the purchase of suitable security and circulations systems.
- The construction of our cataloguing database is progressing well now and in the first testing phase.

Professional development:
- The library has become a member of the ALA (American Library Association) International Division to ensure we remain professionally updated and aware, and benefit from institutional recognition.
- We have developed the program for training library staff in higher education institutions in partnership with the ministry for Higher Education. This is in order to assist in enhancing and updating the skills of the local libraries workforce. The minister of Education came to present a speech at the inauguration of this training.
- We have been consulted by the USAID public Relations Officer for advice on the new Hawler Public library.
- We have established a relationship with Southeast Florida Library Information Network SEFLIN and received recognition in their newsletters.

Staff issues:
We now have 4 members of Staff:
- The newest member of our staff is undergoing an intensive English course training, to enable her to qualify with the TOEFL and GRE for enrolment on a library and information Science Masters Degree.
- Another member of our staff is attending the local workshops for library staff in higher education institutions.
- Two members of our staff are teaching the workshops for library staff in higher education institutions as a community service.
- Two library staff will participate in an online Master's program in Library Science on passing their TOEFL and GRE examinations.
- SEFLIN has donated an "Element K" for online staff development for library.
We have developed a new hiring system to create a more transparent process by:
- Putting an advertisement into three major newspapers to make sure notification of the vacancies is spread in Kurdistan widely.
- Developing standard interview questions that reflect modern library concept and services.
- Developing standard evaluation forms for applicants.
- Enforcing equality of opportunity in library staff selection.

Statistics:
- Total membership equals 419 students and approximately 40 faculty/teachers.
- 3345 items have been lent to staff (151) and students (3304).
- Total stock stands at: 3211 titles and 4028 items, of which 3721 are monographic and 307 in a variety of other media- this does not include our access to numerous online resources.
- Recent additions include materials purchased from local book fair.
- Donations have been received from staff, SEFLIN (South East Florida Library Information Network), and the US Army Civilian Affairs Department.
- Ebscohost is the online data base of journals we subscribe to, and has been well used over the past year. A database session usage reports show that this year academic year of January 08, 1356 sessions with an average of 46 minutes per session, and over 4325 searches, were conducted from the university.
